Cancellation & No-show Policy

This Cancellation & No-Show Policy applies to all sessions offered by [STUDIO LEGAL NAME], including private (1:1), duo (2:1), and introductory / assessment sessions.

By booking a session, clients agree to comply with this policy. This policy forms an integral part of the Studio’s Terms & Conditions.

1. Cancellation Window

All sessions must be cancelled at least 24 hours before the scheduled session start time.

The 24-hour window is calculated from the scheduled start time of the session, not from the date of booking.

2. Late Cancellations

A late cancellation is any cancellation made within 24 hours of the scheduled session start time, regardless of the reason.

Late cancellations result in:

  • Loss of the session, or

  • Deduction of one session from an active package

Late-cancelled sessions cannot be refunded, credited, or rescheduled.

3. No-Shows

A no-show is defined as:

  • Not arriving for a scheduled session without prior written cancellation, or

  • Arriving 15 minutes or more after the scheduled session start time

No-shows result in:

  • Loss of the session, or

  • Deduction of one session from an active package

Repeated no-shows or last-minute cancellations may result in refusal of future bookings and termination of the client relationship at the Studio’s discretion.

4. Late Arrival

Clients may arrive up to 15 minutes late, at which point the session may still proceed if safe and practical, but will:

  • End at the originally scheduled time

  • Not be extended or compensated

Arrival 15 minutes or more after the scheduled start time is considered a no-show.

5. Studio-Initiated Cancellations

If the Studio must cancel a session due to instructor illness, emergency, or other unforeseen circumstances, the client will be offered:

  • A session credit, or

  • A rescheduled session

No penalties will apply to the client in such cases.

In situations of force majeure, the decision to reschedule or credit the session remains at the Studio’s discretion.

6. Communication of Cancellations

Cancellations must be communicated in written form, via:

  • Email

  • WhatsApp

The time the message is received by the Studio determines whether the cancellation falls within the allowed window.

Messages sent but not received (e.g. due to technical issues) cannot be considered valid cancellations.

7. Strict Policy & Exceptional Circumstances

This policy is strictly enforced to ensure fairness, availability, and sustainability of the Studio.

While the Studio may, at its sole discretion, make occasional goodwill exceptions, such exceptions:

  • Are not guaranteed

  • Do not set a precedent

  • Do not alter this policy

8. Final Notes

Private and duo sessions involve reserved time slots that cannot easily be filled at short notice. This policy exists to respect the instructor’s time and ensure a stable, high-quality service for all clients.
